Cases
Where you raise a grievance and follow it, read a case about you, and open the cases and grievances you have a part in; HR and the Owners also open disciplinary cases here and list every one they keep.
Raise a grievance
- Open Yours.
- Press Raise a grievance.
- Choose Who is it about?: Nobody in particular: how something is done, or a name from your own reporting line or your unit.
- Read the lines under it: they say where it will go.
- Type A short title.
- Write What happened, in your own words.
- Press Raise it.
Then: Your grievance opens, with its reference and two dates, Acknowledge by and Hear by, counted in your organization's working days. Whoever hears it and HR who keep its file are each told one waits for them; the notice gives its reference, never your name or who it is about.
Who: Nobody chooses who hears it: it goes to your manager, or, if you have none, to whoever runs people at your unit, and on up the organization to an Owner at the last. One about someone above you, in your own reporting line or running people at your unit or above, skips them and goes one level higher. The person it is about never sees it and is never told: whoever hears it and HR who keep it handle it. HR nearest you keeps the file; where it is about someone who keeps HR records there, there is no clerk and whoever hears it keeps it.
Ana raises a grievance on Monday, October 5, about how weekend shifts are shared out, and chooses Nobody in particular. It goes to Tomas, Ana's manager, to hear, and HR at Riverside keeps the file. At the defaults of 5 and 20 working days, Monday to Friday, it shows Acknowledge by October 12 and Hear by November 2.
Follow your grievance, or a case about you
- Open Yours.
- Find it under Grievances you raised, or Cases about you.
- Read its badges: where it stands, and for a grievance whether Acknowledge by and Hear by are Due, Done or Late.
- Press Open to read it whole.
Then: You are told as it moves: a grievance when it is acknowledged, when its hearing is booked and when its outcome is given; a case about you when it opens, when its hearing is booked, when its outcome is recorded, when an appeal is heard, and when it closes. Once a case about you is decided, its badge counts the days left to appeal.
Rather not? To take back a grievance you raised, open it and press Withdraw your grievance. It is kept, closed, and whoever hears it and keeps it are told.
Who: Your own grievances and the cases about you need no HR unlock, and reading them is not recorded. Only you can withdraw a grievance you raised; HR or an Owner withdraws a case.
Open the cases and grievances you have a part in
- Open Yours.
- Where it says a case step waits on you, type Your HR PIN, or press Use my password instead and type Your password.
- Press Open.
- Find it under Cases that name you, or Grievances you hear or keep.
- Press Open on it.
Then: The HR unlock opens. It stays open for 10 minutes, then asks again. While you work on a person's HR record it is renewed as you go, and never for more than 8 hours from your PIN or password. Each case or grievance you open is recorded with your part in it.
Rather not? Open it straight from your notice instead: a case or a grievance asks for the HR unlock itself.
Who: A notice tells you when you are named: to investigate a case, chair its hearing or decide it; to hear its appeal, when you are named by hand or once an appeal is lodged; to hear or keep a grievance; or as the safeguarding lead a case is linked to. It gives the reference and what waits, never who it is about.
Open a disciplinary case
- Open Disciplinary, and open the HR unlock if it asks.
- Press Open a disciplinary case.
- Choose Who it is about.
- Choose What it is about: Conduct, Capability, Attendance or Other.
- Give When it happened (optional), if you know it.
- Write In one line, as the person is told it.
- Answer Does it touch a child or a vulnerable person?.
- Press Open the case.
Then: The case opens with its reference, and you as its clerk. Its decider and someone to hear any appeal are named for you, and the decider is told, by the reference only; whoever would hear an appeal is told only once one is lodged, or when you name them by hand. The person is told a case about them is open, unless it touches a child or a vulnerable person: then it is linked to the nearest who holds Read checks and documents where they sit (a Safeguarding lead before an Admin or an Owner), who is told, and it is held from the person until that lead releases it.
Rather not? Name the investigator, or another hearing chair or decider, on the case afterwards, under Who does what.
Who: The decider is someone who runs people at the unit above the person's (they hold Enroll, invite and seat people there, with Read personal details or Approve leave: never an IT admin, whose seat only seats accounts), or an Admin or an Owner: never you, never the investigator, and, unless they are an Admin or an Owner, never anyone who keeps that person's HR records. The appeal goes to someone with no part in the case, an Owner first. The decider chairs the hearing unless you name another chair.
Grace, the HR administrator at Riverside, opens a conduct case. Daniel, the unit coordinator for the region above Riverside, is named to decide it, and Mary Ann, an Owner with no part in it, would hear an appeal. Grace then names Sokha to investigate, under Who does what.
Find a case or a grievance
- Open Disciplinary or Grievances, and open the HR unlock if it asks.
- Type a reference, a name or a unit in the search.
- Press Add filter to narrow by unit, status, category or your part, or to the cases held from the person or the grievances past a time limit.
- Press Closed and withdrawn cases too, or Closed and withdrawn ones too, to see the finished ones as well.
- Press Open on a row.
Then: Each row shows the reference, who it is about or who raised it, the unit, where it stands and your part in it. A grievance's row shows its two dates as Due, Done or Late.
Cases is part of HR where your organization's plan has it. Everybody with it raises grievances here and follows their own; the menu shows Cases only to those who keep cases, HR and the Owners; anybody with a part in a case or a grievance, and anyone else, reaches it from the Cases line on To do or from the notice that names them. Disciplinary and Grievances are for HR (whoever holds both Enroll, invite and seat people and Read personal details at a unit, as the HR administrator and Admins do) and the Owners, behind the HR unlock: HR lists those kept at the units where they keep records, an Owner every one. A case about someone who keeps HR records there is the Owners' to keep. A grievance about you never reaches you, whatever else you hold. A name reads Name withheld where a unit keeps its people's names within it. A support visit opens none of it.
