Broadcasts
One message, by email and in the app, to everybody at a unit, to some of its roles, or to the people who asked it for news, and how each one went.
Send a broadcast
- Press Write a broadcast.
- Choose the unit it goes from under From.
- Choose who it Reaches: this unit and everything below, or this unit only.
- Check roles under Only these roles to reach only the people who hold them, or leave them all unchecked.
- Press How many? to see how many people would receive it.
- Type the Subject and the Message, in plain text.
- Press Send.
Then: It goes by email within five minutes, and into each person's notifications in the app. You are told how many were emailed, how many had no address to send to, and how many turned announcement emails off and have it in the app only: numbers, never names. Over your organization's approval size it waits for a second person instead.
Rather not? Press Draft with the assistant, where the assistant is on, for a first draft to finish here. Where your organization has texts, check a channel under Also send as a text and write what the text says.
Who: You send from the units where you hold Enroll, invite and seat people (an Owner, an Admin, an IT admin, a Unit coordinator or an HR administrator, as the roles come), and a broadcast reaches only that unit and the units below it, never sideways or above.
Dara needs every coordinator in the Kampot region to know the convention has moved. Dara chooses Kampot under From, keeps this unit and everything below, checks Unit coordinator, and How many? says 11 people would receive this. Choosing the role rather than eleven names means nobody is missed.
If your broadcast is waiting for approval
- Read the line after you press Send: how many it reaches, and that the people who may approve it were told.
- Find it under Sent from your units, marked Waiting for approval.
- Press its subject to follow it on its own page.
- Press Cancel it if you would rather it did not go.
Then: Somebody else who may send from its unit approves it, which sends it at once, or says why not. You are told either way, and the reason is on its page.
Who: The people nearest its unit who may send from it are told, and any of them can decide it, in Approvals or on its page. You never decide your own.
Sokha's broadcast to the whole Kampot region reaches 312 people, and the organization's approval size is 200. It shows Waiting for approval; Mary Ann, a coordinator there, reads it on its page that afternoon and presses Approve and send.
See how a broadcast went
- Open Sent from your units.
- Read each broadcast's line: how many were addressed, delivered, still waiting and failed. The list holds only what you may send or manage, and what you wrote.
- Type in the search box to find one by its subject, or press Add filter to narrow by unit, by status or by who it was sent to.
- Press a subject to open the broadcast's own page.
Then: Delivered comes from the email queue, which is the only place that knows: queued and delivered are different things.
Rather not? While some have not gone yet, press Hold what has not gone. You are told how many were held and how many had already gone, which cannot be recalled.
Write to the people who asked for news
- Press Write a broadcast and choose the unit under From.
- Under Reaches, choose People who asked for news.
- Press How many?.
- Type the Subject and the Message, and press Send.
Then: It goes by email only. Each one says at its foot why they have it, with a link to stop that works at once.
Who: People outside who checked Stay in touch after a program or a call at the unit or below it, or used your website's form, and confirmed. Contacts you added or imported yourself are reached through your lists instead, with Send a newsletter or report.
Read what was sent to you
- Press Sent to you.
- Type in the search box, or press Add filter to see one unit's.
- Press a subject to read it in full.
Then: It opens the announcement as it was sent, with its unit and when.
The Broadcasts tab is for whoever sends from a unit: a message needs Enroll, invite and seat people there, and a newsletter or a report needs Manage contacts and send them newsletters and reports. Sent from your units is theirs alone, and lists what you may send or manage there: messages where you hold Enroll, invite and seat people, newsletters and reports where you hold Manage contacts and send them newsletters and reports, and what you wrote yourself — so Communications sees no message to a unit, and HR no newsletter. Anybody else reads only Sent to you. With the second key and not the first, as Communications has, there is no Write a broadcast: the page says so, and Send a newsletter or report is above it. Monthly sends shows beside that link where your plan has them. Also send as a text shows where your organization has texts. Broadcasts come with the Pro, Premium and Enterprise plans.
