Bills
What the units owe their suppliers and when it is due, with each bill paid, undone or voided here.
Record a bill
- Press New bill.
- Choose the Supplier, or choose + A new supplier… and type The new supplier's name.
- Say What it is for: October rent.
- Type the amount, and Their invoice no. if it has one.
- Give the Day on the bill and the day it is Due.
- Choose what it was Spent on: a spending account, or something bought to keep.
- Check Repeats each month for rent or electricity.
- Add The invoice: a photo or a PDF.
- Press Record the bill.
Then: It is in the book at once: what it is for on one side, and on the other the chart's account for bills to wait in, under its own name, such as Bills to pay, dated the day on the bill, or in the month that is open when that one is closed. It is owed until it is paid, and counts in the tiles: due in the next 10 days, later, or late.
Rather not? Recorded by mistake? Void it from its three dots while nothing is paid on it.
Lakeside Properties bills the Hillside Center $600 for rent on the 1st, due on the 8th. Grace records it once with Repeats each month checked, and November's bill appears by itself on November 1, ready to pay.
Pay a bill, all of it or a part
- Press Pay beside the bill.
- Choose the account under Paid from.
- Give the day under On.
- Leave the amount as all that is left, or type less to pay a part: a deposit, an installment.
- Type the Check or transfer reference.
- Press Mark paid.
Then: Bills to pay comes down by what is paid, and so does the account it was paid from, on that day. Paid in full, the bill reads Paid with the day; paid in part, it shows what is paid and what is left, and stays owed. When the bank's statement comes, each payment is offered as the match for its line on For review.
Rather not? Pay it from For review instead: a line of the same amount as what is left shows A bill to pay, and Pay the bill pays it and checks the line off in one press.
Let a bill repeat each month
- Check Repeats each month when you record the bill.
- Or open a bill's three dots and press Repeat each month.
- To stop it, open the newest bill's three dots and press Stop repeating each month.
Then: When the bill's day comes round a month on, the next bill is made by itself, billed and due on the same days of the next month, and posted as the first was. A 31st falls on a short month's last day. Months missed are caught up.
Undo a payment, or void a bill
- Open the bill's three dots.
- To undo its latest payment, press Undo the last payment….
- For a bill recorded by mistake, with nothing paid on it, press Void….
- Say why.
- Press Undo it or Void it.
Then: Undone, the payment's entry is reversed, on the record, and what it paid is owed again; a statement line it was matched to goes back to For review. Voided, the bill's entry is reversed, the bill reads Voided with your reason, and it stops repeating. Nothing is edited or deleted.
If New bill is grayed out
- Read the notice above the tiles: bills wait in an account of what we owe, of kind Payable, and the chart has none.
- If you shape the chart of accounts, press Add “Bills to pay” to the chart.
- Otherwise, ask whoever keeps the organization's chart of accounts to add it.
Then: Bills to pay is added to the chart as a Payable account, at code 2010 or the next code free, and New bill can be pressed.
Who: Whoever keeps the top unit's book shapes the chart, and so do the Owner and Admins.
Bills lists the bills of every book you can open: the units where you have See the books, a page at a time. Recording, paying, undoing and voiding need Record money at the bill's unit: the Owner, Admins, Unit coordinators and Finance officers. Bills are part of Budgets & expenses, where your organization's plan has it.
