Banking
A unit's bank, mobile money and cash accounts beside what their banks say: where each one stands, and the statements uploaded.
Upload a bank statement
- Download the statement from the bank's website or app, as Excel, CSV, OFX or QFX.
- Press Upload a statement.
- Choose the account under The statement of, if your organization keeps more than one bank or mobile money account: every unit's book uses the organization's one chart.
- Press Choose the file and pick the statement.
- For Excel or CSV, check Date, and whether Days are written day first or month first.
- Check What it was: the column of the bank's words.
- Under The amounts, choose One column, money out with a minus or Two columns: money in, money out, and the column for each.
- Read what it found: how many lines, the days they cover, and the money in and out.
- Press the Keep button, which counts every line in the file.
Then: For review opens on that account, with the new lines waiting to be matched. The notice after says how many lines were actually kept, and how many were left out because they were uploaded already, are dated before the book starts, or are dated after today. Nothing is posted to the book yet. The next spreadsheet for the same account is read with the same columns.
Rather not? Uploaded the wrong file? Take it out under Statements uploaded while none of its lines is matched or added.
Who: Nobody is told: the lines wait on For review for whoever keeps the unit's book.
Hillside Center's First National Bank statement for September arrives on October 2. Grace downloads it as Excel and uploads it, and 40 lines wait on For review. October's file also holds the last three days of September, uploaded already, so those three lines are noticed and left out.
See where each account stands
- Choose the unit at the top, if you can open more than one book.
- Read each account's card: what the book holds in it today, and the day its statements reach.
- Press the lines to review link on a card to match them on For review.
- Press Reconcile → to reconcile the account's next month, or Count it → for a cash box.
Then: Each card says the last month reconciled, or, for a cash box, the last month counted and what was in it. “The book has moved … since” means an entry was posted into that month after it was finished: undo back to it on Reconcile and do it again.
Take out a wrong upload
- Find the file under Statements uploaded: search its name, or filter by account.
- Press the bin beside it.
- Press Take it out.
Then: The upload and its lines come off the statements, and nothing in the book changes. The taking-out is recorded. Upload the right file after.
If the upload says a row could not be read
- Read the rows listed in red under “Nothing is kept until every row reads”.
- Check that Date is the column of days, and that Days are written the way the bank writes them.
- Check the amounts: one column with a minus for money out, or two columns for money in and money out.
- If the bank writes cents after a comma, check Cents after a comma — 1.234,56.
- If a row is a stray one, such as a total at the foot, delete it from the file and press Choose another file to pick it again.
Then: Once every row reads, the Keep button can be pressed. Nothing was kept before then.
Daniel's bank writes 04/09 for September 4, but the page guessed month first, so a row dated 31/08 could not be read. Daniel chooses Day first under Days are written, every row reads, and the 52 lines are kept.
Banking shows one unit's book at a time, among the units where you have See the books; the unit switch shows when you can open more than one. Uploading a statement and taking one out need Record money at that unit: the Owner, Admins, Unit coordinators and Finance officers hold it. Banking is part of the Finance book, where your organization's plan has it.
