Automations

Rules that act on a project's tasks so people do not have to chase: telling people, giving a task out, adding the next task, or changing a field.

Make a rule

  1. Press New rule, or open Templates and press Use this on one to start from it.
  2. Give it a Name, and choose When it runs: a task moves to a done column, is added, is given to somebody, is due soon, or is overdue.
  3. Press Add condition for each one that narrows the tasks it acts on, or add none for every task.
  4. Under Actions, say what it does, and press Notify, Assign, Create task or Change field beside Add action for another.
  5. Press Save and turn on.

Then: It is on at once. It acts on the project's tasks as they change, and a rule for due soon or overdue is checked once each night, once for each due day. It does only what the project's owners could do by hand, and tells only people who can open the task.

Daniel's team kept forgetting to tell the program lead when a task was finished. Daniel makes a rule: when a task moves to a done column and its priority is Urgent, notify the project's owners. Now the lead hears the moment it is done.

Try a rule before you trust it

  1. Choose the rule in the list.
  2. Under Test this rule, choose a task to try it on.
  3. Press Run on a sample task.

Then: It says whether the rule would run on that task and what it would do. Nothing is sent and nothing changes.

Switch a rule off, or see what it did

  1. Press the switch beside a rule to turn it off, or on again.
  2. Press Run history for each time a rule ran, on which task, and how it went.
  3. To remove a rule, choose it and press Delete rule.

Anybody who may open the project reads what its rules do. Making, changing, trying, switching and deleting them is for its owners and whoever runs projects at its unit. A template has no automations.
