An exit

One person's exit, step by step — the end and its decision, the clearance, the interview, the questionnaire, the settlement and their access — each drawn for whoever takes that step.

Decide whether an exit goes ahead

  1. Read The end: why they are leaving, the last day, HR's note and who proposed it.
  2. Write Your note: it is needed to send it back.
  3. Press It goes ahead, or Send it back to HR.

Then: It goes ahead: whoever proposed it and HR are told, their period of service ends on the last day, and the clearance starts; HR tells them in person, then sends the questionnaire. Sent back: HR is told, and changes it and presses Send it again, or cancels the exit.

Who: HR at the unit above theirs — who holds Enroll, invite and seat people and Read personal details there, as HR above and an Admin do — or an Owner. At the top of the organization only an Owner decides; with nobody above, the Owners are told.

Lee is HR for the Northern Region. A termination at the Hillcrest center waits on them; they read HR's note, write “Agreed after the second warning”, and press It goes ahead. HR is told, and the clearance starts.

Take an exit through, as HR

  1. For a notice they handed in, check Their last day and press Confirm, and it goes ahead.
  2. Hold the exit interview, then choose the day under Held on.
  3. Write the Notes.
  4. Press Save the interview.
  5. For an end others decided, tell them in person, then press I have told them: send it.
  6. Once the clearance is done and any settlement is recorded paid, press Complete the exit.

Then: Confirmed, it goes ahead: the clearance starts and their questionnaire waits for them. Completed, the exit is closed and its notices are put away.

Rather not? To change the day, open Move the last day, choose the Last day and press Move it: the clearance's tasks move with it. To stop the exit, open Cancel the exit, say Why, and press Cancel it: if it had gone ahead, the end of their period of service is taken back and the clearance put away.

Who: The interview notes are HR's alone: the manager and the person leaving do not read them.

Settle what they are owed

  1. As HR, type the Amount in the unit's own currency, or leave it blank for none.
  2. Say What it is for.
  3. Press Save the settlement.
  4. Press Send it to an Owner for approval.
  5. As an Owner, write Your note if you are returning it.
  6. Press Approve, or Return it to HR.
  7. As the settlement's finance desk, once it is paid, choose Paid on and type the Payment reference.
  8. Press Record it paid.

Then: Sent, the Owners are told. Approved, the settlement's finance desk is told to record it paid once the money has gone: the Finance officer seated nearest them; where no Finance officer is nearer, HR where they sit; and where the only HR there prepared it, the nearest who hold both Record money and Read pay. Never whoever prepared it. The notice names the person only where everyone told may know of them, and never says the amount. Returned, whoever prepared it and HR are told, to change it and send it again. No money moves here: it is paid the way your organization pays, and recorded here.

Who: HR prepares and sends it. An Owner approves it — never whoever prepared or sent it, nor the person leaving. The settlement's finance desk records it paid: the Finance officer seated nearest them; where no Finance officer is nearer, HR where they sit; or anybody who holds both Record money and Read pay there, as the Owner and Admins do. Never whoever prepared it, nor the person leaving. Holding Record money alone, as a Unit coordinator does, is not enough.

HR prepares a leaving settlement for somebody at the warehouse and sends it. Olive, an Owner, approves it; Sokha, the Finance officer seated nearest the warehouse, pays it from the bank the usual way, then records it paid with the bank's reference.

Answer your exit questionnaire

  1. Open your exit from Leaving.
  2. Choose The main reason you are leaving.
  3. Answer each of the four questions.
  4. Write what the organization should keep doing, and change, if you like.
  5. Press Send my answers.

Then: HR reads your answers beside your exit interview. Reasons are only ever counted for 3 or more leavers, never shown as one person's answer.

Rather not? Changed your mind about leaving? Before HR confirms your notice, press Withdraw my notice: the exit is canceled and HR is told.

Who: Only you answer it, once. HR reads it; your manager never does.

If their access did not end

  1. Read Access, near the foot of the exit.
  2. Read the note there, if HR sees one: it says why their access was not ended.

Then: Access ends once the exit has gone ahead and their last day is over, on the next hourly round: every seat ends, sign-in stops and any link in the post stops working. Nothing is deleted.

Only the person, HR where they sit, the decider while the end waits, an Owner once there is a settlement, the settlement's finance desk once it is approved, and their manager open an exit; anybody else is told it is not found. Each reads their own part: the interview notes and the questionnaire's answers are HR's alone, and the settlement's amount is read only by HR, the Owners and, once it is approved, the finance desk: the Finance officer nearest them, HR where no Finance officer is nearer, or whoever holds both Record money and Read pay there.
