An entry

One entry of a unit's book on its own page: its number, its lines, its receipts, who posted it and when, what it reverses or is reversed by, the record it came from, and what the audit log holds about it.

Read an entry

  1. On the Journal, press an entry's number, such as No. 42, or its description.
  2. Read its amount, its day and month, where it came from, who it was with and who posted it, at the top.
  3. Read its lines under Lines: each account, fund, few words, debit and credit, with the totals.
  4. Press where it came from, such as a gift's donor, the bills or the pay run, to open that record.
  5. Press The Journal to go back to the book.

Then: The page is the same entry the Journal shows, with nothing hidden: the book never edits an entry, so what it says is what was posted. A line's account opens the Journal narrowed to that account.

Rather not? An address with ?id= can be sent to whoever else reads the book, such as the treasurer or the auditor.

Who: Whoever holds See the books at the entry's unit, as for the Journal.

The auditor asks about entry 215. Daniel types 215 in the Journal's search: it was posted in March, outside the dates on screen, so the Journal says No. 215 is in March 2026 and Daniel presses Open it. The page reads: Money out, 92.00 to City Power from the bank, posted by Grace, with the bill's photo kept with it.

Reverse it from its page

  1. Press Reverse… at the top of the page.
  2. Say why, such as Posted to the wrong account.
  3. Press Reverse it.

Then: The reversal is a second entry, line for line the other way, with your reason in its description. This page then says Reversed by entry and its number, and the reversal's page says Reverses entry and this one's; each badge opens the other.

Who: Whoever holds Record money at the entry's unit.

Keep a receipt with it

  1. Under Receipts, press the button to add one, and choose a photo or a PDF.
  2. To take one off, press the cross beside it.

Then: The receipt is kept with the entry, and shows on the Journal under it too. A photo is made smaller on the phone first.

Who: Whoever holds Record money at the entry's unit adds and takes off receipts; anybody who reads the book sees them.

See what the audit log holds about it

  1. Read On the record at the foot of the page.
  2. Each row says what happened, Posted or Reversed, who did it, the amount and when.

Then: Posting and reversing an entry each write a row to the organization's audit log, with the entry's number and amount and never its description, which stays in the book. The same rows are in the organization's audit log, of the kind Finance, for whoever may read the log.

You see an entry only in a book where you hold See the books. Reverse… and adding a receipt are for whoever holds Record money there.
