Action items
Every job the boards you can see have given out that is still open: who has it, when it is due, and what is late, stuck or on nobody.
Chase what is late, stuck or on nobody
- Read the tiles at the top: Overdue, On nobody, Blocked and With a reviewer.
- Press a tile to show only those actions, and press it again to show everything.
- Press Add filter to narrow the list by unit, state, priority, assignee, the plan it serves, or due date.
- Type a word, a board, a meeting or a name in the search box.
- Press an action to open it beside the list.
Then: The earliest due date comes first, and a date already past shows in red. The Overdue tile names the oldest day still late. The tiles count the whole register, whatever the filters show.
Rather not? Press Clear to take every filter off.
Who: An action on nobody stays here, open, until a board member or administrator at its unit gives it to somebody.
Before the board meets, Daniel presses Overdue: three actions, the oldest due July 21. One, “Review the insurance”, was agreed in March and is on nobody, so Daniel opens it and gives it to Grace with a new date.
Move an action on, or close it
- Press the action to open it beside the list.
- Under Move it on, press the button for what has happened, such as Start, At risk or It's stuck.
- When the work is finished, press Send for review where somebody reviews it, or Mark done where nobody does.
- If you are its reviewer, write under Note back if you are sending it back, then press Approve or Send back.
Then: Sent for review, the reviewer is told. Sent back, whoever has it is told, with the reviewer's note shown at the top. Each notice opens the action on My workspace. Marked done, approved or canceled, it leaves this list.
Rather not? Whoever asked for it, or the board, can press Cancel it on work that is no longer wanted.
Who: Whoever has it moves it on, its reviewer approves it or sends it back, and board members and administrators at its unit can make the other moves too. Nobody confirms it afterwards: an action with a reviewer is closed when the reviewer approves it, and one without is closed when it is marked done.
Sokha was given “Get three roof quotes”, with Mary Ann as reviewer. Sokha presses Start, and on the 24th presses Send for review. Mary Ann is told, sees only two quotes, writes “One more, please” under Note back and presses Send back, and Sokha is told with the note at the top.
Give an action to somebody, or change its date
- Press the action to open it.
- Under Who it is on, and by when, choose who has it under Assigned to.
- Choose who signs it off under Reviewer, if anybody.
- Set its Priority and its Due date.
- Choose a goal under Toward if the work serves a plan.
- Press Save.
Then: Somebody newly given it is told “An action was assigned to you”, and a new reviewer “You were asked to review an action”. Leaving it on nobody first asks you: press Leave it unassigned, or Go back.
Who: Only board members and administrators at the action's unit see this part.
Grace opens “Renew the hall insurance”, which says Unassigned. Grace chooses Daniel under Assigned to and Mary Ann under Reviewer, sets Due to September 30 and presses Save. Daniel and Mary Ann are each told at once.
Note progress, or break an action into steps
- Press the action to open it.
- Write what changed under Add a note.
- Choose Progress, Blocker or Review under Kind.
- Press Note it.
- To break it into steps, write one under What has to happen and press Add.
Then: The note shows under Notes with your name and the time. A step shows under Steps with its own state, and the action cannot be finished until every step is.
Who: Whoever has it, its reviewer, and board members and administrators at its unit can add a note. Steps are added by whoever has it, or the board.
Dara is waiting on the auditor, so they write “Auditor away until the 12th” under Add a note, choose Blocker and press Note it. Then they add two steps, “Send the bank letters” and “Book the sign-off”, so the board can see what is left.
Download the register
- Press Download at the top of the page.
- Choose Excel (.xlsx) or CSV (.csv).
Then: The file holds every action the boards you can see have raised, open, done and canceled, with who has it, who reviews it, when it is due, whether it is overdue and the goal it serves. A name a unit keeps within it reads Name withheld. Each download is kept on the record.
You see the actions of the boards at the units where you may read board papers; one raised at a meeting held In camera only if you attended it. Without Read board business at any unit, the page says the actions register is the boards', and Open My workspace leads to what a meeting gave you to do. Only open actions are listed: done and canceled ones are in the Download. The buttons inside an action follow your part in it: the people on it move it on, whoever asked for it can cancel it, and board members and administrators at its unit can also say who has it and by when.
