Across units

Every unit whose book you read, side by side for one month: who has closed it, and what those who published reported, each currency on its own.

See who has closed the month

  1. Choose the month under Month.
  2. Press Show.
  3. Read the tiles: how many published, how many are late, and how many restated.
  4. Read Who has closed: each unit's status, its deadline, and its income, expenses and net once it has published.
  5. Press a unit's name to open its Journal. It opens on this month, not the month you chose here: choose the dates there.

Then: A dash means the unit has not published that month, not that its figures were zero. Restated means the unit has posted corrections into a month it had published that changed its income or spending: the figure shown is the one it published, with what it is now beside it.

Read the totals, each currency apart

  1. Read each currency's income, expenses and net, and how many units it adds up.
  2. Where any currency is not the organization's own, read the line beneath them: it says whether the month has the rates for one total.

Then: With a rate for every other currency, one more total in the organization's own currency shows, saying the rates it used. Without them each currency stands on its own: nothing is converted at an invented rate.

Enter the month's rates for one total

  1. Press Enter the rates, or Change the rates.
  2. For each currency, type how many of it make one of the organization's currency.
  3. Press Save the rates.

Then: One total in the organization's currency shows beside the others. The rates are kept with the month, so the same total comes out the same next year; each unit's own book is never converted.

Rather not? Leave a rate empty to take it away: that currency then has no rate for the month.

Who: Rates are the organization's: whoever keeps the top unit's book sets them, or an Owner or Admin.

Canada keeps its book in Canadian dollars and Mexico in pesos; the organization keeps US dollars. Lee enters 1.38 for CAD and 18.20 for MXN for October: each currency still shows on its own, and one total in US dollars now shows beside them, with the rates it used.

Set a deadline for the month

  1. Give the day in the month's deadline box.
  2. Press Set deadline.

Then: The deadline applies to every unit listed, and a unit past it and not published counts as late. Leave the day blank and press it again to clear it.

Who: Offered only to whoever holds Record money at every unit listed: setting a deadline tells another unit's treasurer when to file. No notice is sent: the deadline shows beside the month on Periods, and here.

You see the units in your part of the organization where you hold See the books, with figures only for months they have published. Entering the rates is for whoever keeps the top unit's book, or an Owner or Admin; setting a deadline needs Record money at every unit listed.
