A report
Any report but the statement of activities, for one unit's book: the financial position, cash flow, fund balances, the general ledger, the trial balance, spending by purpose and the giving reports, each with its own title in the header.
See what the unit owns and owes on a day
- Open Financial position — own and owe from the list of reports.
- Give the day in the date box: today, unless you change it.
- Press Apply.
- Choose Beside a year earlier to put the same day a year before beside it.
Then: What we own, what we owe and the fund balances on that day: what we own less what we owe is what the funds hold. Earlier years' results are part of the fund balances.
Rather not? Open Trial balance for every account's balance on its own side, on a day: the two totals agree. Income and spending there run from the start of the year, earlier years' results stand on one line, and an account at zero is left out.
Follow every line on one account
- Open General ledger from the list of reports.
- Choose the dates.
- Choose the account in place of Every account: accounts nested under it come too.
- Choose a program in place of Every program, for one program's lines.
Then: Each account opens with its balance before the dates, then every line with its date, fund, debit, credit and running balance, and closes with its balance at the end. Income and spending accounts open from the start of the year.
Show a funder what is left of their fund
- Open Fund balances from the list of reports.
- Choose the dates the funder asks about.
- Press PDF for the board, or Download.
Then: Each fund, the restricted ones marked: what it carried in, what it was given and spent in the dates, what moved straight into or out of it, and what is left. Given is all income credited to the fund, not gifts alone.
A funder asks how much of the camp grant is left. Tomas opens Fund balances for the year so far: Youth Camp 2026 carried in 0, was given 8,200, spent 6,350 and has 1,850 left. They send the funder the PDF.
See where the cash went, and what the spending was for
- Open Cash flow for the money in hand at the start, what came in and went out, and what is in hand at the end.
- Open Spending by purpose for how much of the spending was the work itself.
- Press an account's line in either to open its entries in the Journal.
Then: Money in hand is every account whose kind is cash, bank or mobile money; money moved between two of them is neither in nor out. The Journal opened from Cash flow shows every entry on that account, those that moved no cash too, so its total can differ from the line you pressed. Spending by purpose groups spending by what each account is for, with each one's share.
Follow up gifts and donors
- Open Not yet thanked for gifts in the dates still waiting for a thank-you, and who each is with.
- Open Gave last year, not this for donors to get back in touch with, largest giver first.
- Press a donor's name to open their card.
Then: Gifts by donor and Giving by fund total the giving over the dates. Reversed gifts count for nothing, and a gift with no name counts as a gift, not as a donor.
Each report is one unit's book, where you hold See the books, in that unit's own currency. A donor's name reads A donor only to a reader seated above a unit that keeps its people's names from the units above it, an organization-wide role included; a reader seated at that unit or below it sees the name. Budget against actual and Levies by age open their own pages, where your organization's plan has budgets and levies.
