A joining or leaving checklist
One person's joining or leaving checklist: its tasks grouped by whose they are, what each asks, when each is due, and who checked off what.
Check off a task that is yours
- Open Checklist.
- Find your group: New person or Person leaving, Manager, IT, Finance or HR.
- Do the task.
- Press the box beside it.
Then: It reads Done, checked off by you; the row still shows the day it was due, and Activity shows the day you checked it off. Once every task of yours is done your notice about it is put away, and once every task is done the checklist reads Completed.
Rather not? Pressed it by mistake? Press the box again to mark it not done — except a task that read a document or issued or took back equipment: that was recorded in Drive or Resources, so it stays done; change it there.
Who: Each desk is worked out when the checklist is read: the person; the holder of the position their seat reports to, or its cover while they are away; the IT admin and the Finance officer nearest them; and HR nearest them. A desk nobody holds falls to HR, and its group says HR holds these.
Sokha is the Finance officer for the Eastern Region. A notice says “1 task is yours: Add them to the payroll export” on a joining checklist. Sokha opens it, finds the Finance group, presses the box, and the task reads Done, checked off by You.
Read and acknowledge a document
- Open Documents to see every document this checklist asks you to read.
- Open Checklist and press the document's name beside Read and acknowledge: Drive opens at what is waiting for you to read.
- Read it.
- Come back and press the box beside the task.
Then: Your acknowledgment is recorded in Drive too, and the task reads Done. It stays done.
Who: Only the person themself says they have read a document: nobody acknowledges for them, HR included.
Hand out or take back equipment
- Open Equipment to see what is issued or comes back through Resources.
- Hand the thing over, or take it back.
- Press the box beside it.
Then: Issued, one goes out on Resources' lending log, booked from the checklist's unit until the last day of their period of service, or for two years where none is set, and whoever keeps it is told. Taken back, the thing the task names comes back, in good order, or, where it names none, everything their joining checklists issued that is still out. Either way the task stays done.
Who: Whoever the task belongs to presses it, IT most often. The thing's keepers are told it was issued on a joining checklist, never who joined.
Dara in IT hands a new volunteer a laptop from the Riverside store and presses the box beside “Issue their equipment”. A volunteer's period of service has no end day, so the laptop is booked out on Resources for two years, and the store's keeper is told.
See what is due, and who did what
- Read the progress card: how many tasks are done, how many are overdue, and how many are due this week.
- Read each task's day: counted from the start day for joining, or the last day for leaving.
- Read each group's heading for who holds it, and how many of its tasks are done.
- Open Activity to see who checked off each task, and when.
Then: A task reads Due soon in the 7 days before its day, and Overdue after it. Each desk is told its tasks when the checklist starts, and again when a task falls due. On an exit's clearance, Open the exit takes the person and HR to the exit.
Cancel a checklist
- Open Cancel this checklist at the foot of the page.
- Press Cancel the checklist.
Then: It is kept as it is, checked off by nobody from then on, and its notices are put away for everyone. It reads Canceled, with the day.
Who: Only HR where it is kept.
Only the person, HR where it is kept and whoever holds one of its desks open a checklist; anybody else is told it is not found. You press the box only beside your own tasks. A name reads Name withheld where that person's unit keeps its people's names within it.
