A donor's card

One donor: who they are, how they like to be contacted, every gift and every contact beside it, the next contact planned, and what they have pledged.

Thank them for a gift

  1. Press Say thank you beside the thank-you waiting.
  2. Choose Email, I called or visited or Letter.
  3. For an email, read the unit's wording, filled in for this gift, and change anything before it goes.
  4. Choose when somebody should get in touch again: Pick a date, a day suggested, or No plan for now.
  5. Press Send thank-you, Save — thanked or It went — thanked by letter.

Then: The thank-you is on their timeline, by you, and leaves the To do. An email goes in the unit's name with the receipt attached, and replies come to you. A contact you plan goes on that person's To do on the day, with a reminder the morning before.

Sokha looks after Ana and sees A thank-you is waiting on Ana's card. Ana did not choose email, so Sokha calls, presses I called or visited, writes that Ana asked for photos from the camp, and plans a visit in three months.

Log a call, a visit or a note

  1. Press Log a contact.
  2. Choose Called, Visited, Wrote, Messaged or Note.
  3. Change When if it was not today.
  4. Write What was said: a line is enough for whoever gets in touch next.
  5. Leave the box checked if it was the thank-you for a gift waiting.
  6. Press Log it.

Then: It goes on their timeline. Any contact but a Note, left checked as the thank-you, marks that gift thanked, as Say thank you does. A planned contact is marked done when you log it from Done — log it.

Plan the next contact, or move one

  1. Press Plan the next contact, or Plan one under Next contact.
  2. Choose the day: In a month, In three months or Pick a date.
  3. Choose Who and How, and say Why.
  4. Press Plan it.
  5. When it is done, press Done — log it; for another day press Move it, or No plan after all.

Then: It is on that person's To do on the day, with a reminder the morning before, and Next contact on the card shows it.

Rather not? Whoever keeps the book can hand a planned contact to somebody else: choose them under Give it to… and press Give it. They are told.

Change how they like to be contacted

  1. Press Change beside Getting in touch.
  2. Press each way they welcome, or check Do not contact.
  3. Add A note on getting in touch, such as the hours to call.
  4. Press Save.

Then: The change is on their timeline. Do not contact means no emails, no thank-yous asked for and no reminders, and anything planned for them is dropped now; their gifts are still recorded and receipted.

Who: Their caretaker or whoever keeps the book changes it. Donors can change it themselves from the link in an emailed thank-you or statement; a printed letter carries no link.

Change their details or caretaker, or record a gift or pledge

  1. Press Edit under About them to change their name, how to reach them, their address or the language they are thanked in.
  2. Choose Who looks after them to give them to somebody else, or Nobody yet.
  3. Press Record a gift for a gift from them.
  4. Press New pledge under Pledges for what they promise.
  5. Press a year's statement under Giving for that year's PDF.

Then: A new caretaker is told, and the thank-yous still owed go to them. A gift recorded here goes into the book as on Gifts.

Who: Whoever holds Record money at the donor's unit; a year's statement opens for anybody who holds See the books there.

The card opens for whoever holds See the books at the donor's unit, for the donor's caretaker, and for anybody with a thank-you or a contact about them on their To do. Readers change nothing. A caretaker thanks, logs, plans and changes how to reach them, and sees amounts only where the unit shows them to caretakers; a caretaker with no finance permission sees no other donor and nothing else in Finance. Whoever holds Record money also edits their details, gives them a caretaker, and records gifts and pledges. Above a unit that keeps its people's names inside it, the card does not open.
